POLICY 1328: DISTRICT WEBSITE/INTRANET POLICY

I. PURPOSE
The purpose of this policy is to establish expectations for the content and use of the district web site and intranet.
II. GENERAL STATEMENT OF POLICY
The purpose of the Westonka Public Schools Website/Intranet system is to enhance instruction and provide students, employees, parents and the community with information about the district and its schools. All pages will support this purpose and follow the Westonka Schools Website Style Guide.
III. CONTENT STANDARDS
- Subject Matter
- All district-related information and content must relate to curriculum and instruction and/or school authorized activities and organizations.
- All content must comply with all policies and regulations of the district and all state, federal and international laws, including copyright, intellectual property, harassment, and nondiscrimination.
- Content requests which are denied or content that is removed may be appealed by following the district selection policy reevaluation process. The content in question shall remain unpublished until the review process is completed.
- Complaints about published web pages/intranet materials will follow the district selection policy reevaluation process. The content in question may remain published until the review process in completed.
- Quality
- All webpage work must be free of spelling and grammatical errors.
- Upon request, the creator will be able to verify the accuracy of all factual material contained within.
- Documents may not contain objectionable material (that which does not meet the criteria for instruction resources specified in District Policy #6161) or point to (link) objectionable material.
- Ownership and Retention
- All web pages and public content on any district server and web server are the property of the School District. Any data or other information downloaded or copied to any remote system shall remain the property of the School District. Staff members obtaining such access to data shall take required steps to protect confidentiality and prevent unauthorized disclosure of District data in compliance with the District’s Data Privacy Policy.
- Web pages will remain on-line as long as they continue to meet the purpose of the web page.
- Safeguards
- Information about students such as recognition, awards, competition results, etc. may include first and last names. (See Policy 5125 Protection and Privacy of Student Records).
- Student photos may be published in accordance with Policy #5125 student directory information.
- Web pages may not include student addresses, phone numbers, or personal, non-district e-mail addresses. Staff members’ names, work assignments, and voice mail (phone) numbers may be published.
- This policy requires that for the safety and security of minors, all employee-hosted or sponsored chat rooms, blogs, wikis, podcasts and similar electronic communication technologies used as part of the employee’s professional responsibilities and/or in interactions with students and parents be confined to those technologies specifically approved by the employee’s supervisor and/or hosted within the District domain.
- Copyright Policy
- All web pages will follow copyright laws as outlined in the district copyright Policy #6162.
- Technical Standards and Consistency
- Page location
- All student work must reside on an appropriate, pre-approved district web service solution. Teacher created pages must reside on a pre-approved service solution and follow the district web policy.
- Formatting standards
- Each page shall contain a minimum of one link which will return the user to the home page of the district web site.
- Additional consistency guidelines are suggested as follows:
- Use fonts commonly found on most personal computers.
- Whenever possible templates will be provided by the district’s web service solution.
- All graphics should be of quality and size to allow for quick downloading and acceptable storage limits.
- All pages should include latest revision dates.
- Timeliness and link accuracy
- All web pages will be created, reviewed and maintained in a judicious manner. Information disseminated will be as current and timely as feasible or will be removed from the website until updates are possible.

IV. MAINTENANCE AND DELOPMENT RESPONSIBILITIES
All web pages will be maintained with current information, eliminating out of date material. The developer of the individual web page is responsible for keeping content regularly updated following the guidelines in this policy.
V. FINAL APPROVAL
Each school will have web page coordinators who will be assigned by the building principal. The district web page coordinator will be assigned by the superintendent. Each web page coordinator will be responsible for the material contained on the web pages that they coordinate.
VI. VIOLATIONS
- The District’s Website/Intranet shall be an extension of the classroom or school, and subject to the same expectations for conduct and high quality of work expected in Westonka classrooms and on school grounds. Students and employees shall maintain the same rights and responsibilities online as are expected when present on campus or involved in school activities. The Superintendent, or designee, shall investigate any allegations or misconduct in conjunction with the District system.
- Violations of any District policy in conjunction with use of the District’s Website may result in disciplinary action and/or loss of access to the District system.
